Document Header Quick Keys
<Alt + D> View Delivery Address
To view and select a customer delivery address, and to amend the address.
<Alt + C> View Client Contacts
<Alt + O> Select Options
Selects the options window which will enable you to:
1. | Print a Packing Slip, Invoice or Cash Sale Docket |
2. | Email to yourself |
3. | Change the freight volume for the invoice |
4. | Cancel the invoice. (To cancel an invoice all invoice lines have to be deleted.) |
<Alt + P> Enter Payment Details
Selects the payment screen for the invoice.
<Alt + L> Locate Document
Lists all invoices in the current control with the option to select a invoice.
To Create An Invoice
Invoice Header
• | Select a Customer |
• | The InvNbr is allocated automatically |
• | The Date will default to todays date |
• | Complete the Order No field if required. Note if the Customer masterfile is setup requiring a order number you will be prompted to enter an order reference |
• | Enter your ID Code in the Sales Rep field |
<Page Up> <Page Dn> to move from one invoice to another.
<Enter> or <Tab> to move from one field to another.
<Shift Tab> to move to the previous field.
Line Items
• | Select an Item to sell. |
• | The Loc (Stock Location) will default according to the setting of theStock Location Structure option. Either the location is driven by the terminal logon or by the stock locations (IVLOC) that are available. |
• | Enter the Quantity sold. |
• | If there are multiple prices for the item, a Select Price Unit window is opened enabling you to select the required price. |
• | If there is only one price for the item, the UOM UOP (Units) and Price will automatically be selected and the next line is selected. |
• | If there is a problem with the Price, that is the price is less than the cost, a Verify Price Selection screen will open enabling you to verify the price. |
<Alt + R> will open the Verify Price Selection screen.
• | The item description shown is what prints on the invoice. You can change the description by positioning on the field and over typing. |
• | After all lines have been entered, select Next (Alt + N). If the sale is a cash sale screen, the Payment window is opened. If the sale is a charge sale, the Options window is presented enabling an invoice or delivery docket to be printed. |
• | Enter the cash, cheque or credit card details in the Payment screen and print the appropriate document. |
To Activate Line Buttons Position on the required line and use the <Alt + ?> function
To Delete A Line Position on the line and press <F3>
To Cancel changes made to a line Position on the line and press <F2>.
If the <F2> does not cancel the changes, then delete the line <F3> and re-enter the item.
You cannot change the Loc or Item if a Qty is selected. To do this, change the Qty to O, <Down Arrow> to the next line and <Up Arrow> back to the line. You will now be able to change these fields.
Once an invoice has been printed you will not be able to change the invoice details or invoice lines.
<Arrow Up> <Arrow Down> to move from one line to another.
<Enter> or <Tab> to move from one field to another.
<Shift Tab> to move to the previous field.
Product Item Look Up Options
Enter the Product Code or
Enter the Stock Number or
Enter the Barcode or
Enter the Serial or Batch Number (Valid only if serial or batch tracking is invoked for the item).
If these codes cannot be validated, the Product Code Search screen is presented.
Enter some product key words
The products found with the keywords will be listed.
<F5 Zoom> to enter the Product Search screen.
Special Sale Issue Units
If an item is sold using special sale issue units, access to the Special sale issue units field is available. The use of this field has the following features:

To select packets or to enter packet or loose lengths, <F5> from the Special sale issue units field.
For Loose lengths (LO) the total length to be invoiced can be entered directly into the Qty column. However, to record the length and pieces sold, <F5> from the Special sale issue units field.
Once pieces are entered for a sale you must always Zoom to the Maintain Pieces screen in order to change the Qty.

Creating a Sale Credit Note
The original invoice lines can be selected to ensure that the correct item, price and quantity to be credited, are the same as the original invoice.
1. | Select the Credit button. |
2. | From the Select Inv & Line To Credit window |
2.1 Select the invoice number to credit.
2.2 Select the invoice line to credit.
3. | All the details of the line selected are copied back to the invoice line where a credit sales line is created. |
Repeat steps 1 to 3 to credit further lines. The select invoice number will now default to the invoice number first selected.
Credit Exceeded
If the Credit Exceeded window is called when you first enter the invoice header, the options are to Cancel or to turn the invoice into a Cash Sale and continue with the transaction.
If the credit is exceeded while entering sale lines you will receive this warning:
"Customer's credit limit will be exceeded with this item. If you continue with this item you will be forced to create a cash sale when exiting from the lines."
When the User exits from the Lines to the Header, the Credit Exceeded window is called if the credit limit is still exceeded, and the only option will be to activate the Cash Sale button and turn the invoice into a Cash Sale.
